We are looking for a Office Coordination to join Coolbrook’s finance team.

As Office Operations Coordinator, you will be the go-to person who keeps our Helsinki office running smoothly and our teams well-organised. You'll play a hands-on role across office administration, event coordination, HR support, and company communications — ensuring that the day-to-day operations work seamlessly so our engineers and experts can focus on decarbonising heavy industry.
Coolbrook offers you an exciting role in an international and dynamic growth company with a real opportunity to have an impact and make history. In this permanent role you will be based in Helsinki, Finland and report to Noora Holappa while collaborating with multiple internal and external stakeholders. The position is offered initially as a six-month fixed-term contract, with the intention to continue in a permanent role based on mutual fit.

Core responsibilities:
Managing daily office administration, including mail handling, food and supply orders, and liaising with facility and service providers to keep the Helsinki office running smoothly
Coordinating and scheduling meetings across teams and time zones, supporting leadership with calendar management
Maintaining and updating company-wide presentations, including corporate overview materials and employee benefits information
Owning document management processes — ensuring company files, templates, and key documents are organised, up to date, and easily accessible
Planning and coordinating internal and external events such as team days, company gatherings, and visitor programmes
Supporting HR-related activities, including maintaining employee benefits programmes, assisting with onboarding processes, preparing and updating onboarding materials, and helping ensure a smooth employee experience throughout the employment lifecycle
Supporting internal communications to keep teams informed and connected across our four locations
Assisting with travel bookings and itinerary planning for team members
Additional areas based on your skills and interests
Contributing to marketing activities such as updating the company website and LinkedIn presence
Photography, filming, and editing for company content — a great way to develop your creative portfolio while telling the story of cutting-edge climate technology

Professional qualifications
A completed bachelor's degree or equivalent qualification
Fluency in both Finnish and English, written and spoken — you'll use both daily in a truly international team
Proficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook); familiarity with tools like SharePoint or similar platforms is a plus
Interest in or experience with content creation, social media, or visual communication is an advantage but not required
No extensive prior experience is needed — we value a motivated, detail-oriented mindset and the drive to grow with us
